Office Administration and Finance Associate at Infosec
The Office Administration and Finance Associate at Infosec is responsible for managing the administrative and financial functions of the company. This includes accounting, payroll, financial analysis, procurement, cashier duties, reception tasks, and ensuring compliance with tax regulations through timely filing with the Tanzania Revenue Authority (TRA).

Key accountabilities and decision ownership:
Finance and Accounting:
- Manage and process payroll, ensuring accuracy and compliance with company policies and legal regulations.
- Oversee accounts payable and receivable, including invoice processing, vendor payments, and customer billing.
- Prepare and maintain accurate financial records, including ledgers, balance sheets, and income statements.
- Conduct financial analysis and reporting, providing insights and recommendations to management.
- Handle cash flow management, including tracking and recording all cash transactions.
Tax Filing and Compliance:
- Prepare and file taxes with the Tanzania Revenue Authority (TRA), including PAYE, SDL, VAT, and other applicable taxes.
- Ensure all tax filings are accurate and submitted on time to avoid
penalties. - Maintain up-to-date knowledge of tax regulations and implement any necessary changes within the company’s financial practices.
- Collaborate with external auditors and tax consultants as required.

Must have technical / professional qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Proven experience in finance, accounting, tax filing, and office administration roles.
- Strong understanding of accounting principles, payroll processing, tax regulations, and financial reporting.
- Proficiency in accounting software (e.g., QuickBooks, Zoho Books) and Microsoft Office Suite.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
Procurement:
- Coordinate and manage procurement activities, including sourcing suppliers, obtaining quotes, and purchasing goods and services.
- Maintain accurate records of all procurement transactions and ensure timely payment to vendors.
- Monitor inventory levels and reorder supplies as necessary.
Office Administration:
- Serve as the primary point of contact for office visitors and manage reception duties, including answering phones, handling inquiries, and directing visitors.
- Oversee general office operations, including maintaining office supplies, equipment, and facilities.
- Organize and schedule meetings, appointments, and travel arrangements as required.
- Support HR functions, such as maintaining employee records and assisting with onboarding processes.
Compliance and Reporting:
- Attention to detail and accuracy.
- Professional certifications such as CPA, ACCA, or equivalent will be prefered.
- Ensure compliance with all financial regulations, company policies, and procedures.
- Prepare and submit financial reports to management on a regular basis.
- Assist with the preparation of annual budgets and forecasts.
